Use a Calendar to Get Your Family Organized
And Free Energy for Fun Things

With today's fast-paced lifestyle, you must declutter, and you must find ways to organize or you're going to miss all the fun. There's too much going on to rely on your memory. Using a family calendar is a basic!

1. Buy a calendar or planner where you will organize your family life.

Although I'm all about the computer, I prefer a large wall-type calendar because everyone can see it. The paper calendar most office supply stores sell is fine, with lines.

Some people prefer to use a grease-board because it's easier to erase, but for that reason I prefer the other. Things get smudged too easily on a grease board. Pocket planners and desktop calendars work fine too. Your choice. But nothing works if you don't use it.

2. Buy a pen that can write at any angle and find a way to keep it near the calendar. Keep eraser or whiteout nearby.

I attach my calendar to the side of the refrigerator with large clip-type magnets that have a place at the top where I can place my pen.

3. Place calendar in central location. It doesn't matter where as long as everyone knows where it is.

It won't do any good if you don't enter things on it and look at it! I keep mine in the kitchen so when I prepare the coffee-maker at night, I check to see what's coming up the next day. Then I check it again first thing in the morning.

It's smart to station it near the phone and computer - your sources of incoming data. Process your mail right by the calendar. Then you can enter things, throw out the paper, and declutter.

4. Keep this family calendar even if you and other members of the family have individuals planners.

5. Intentionality - assure everyone that if it goes on the calendar, it will happen.

This frees mental and emotional energy -- you don't have to store these things in your memory, and you don't have to worry - nor do your children - that you'll miss something important.

6. When you first get the calendar, enter all "standing events."

This would include birthdays, anniversaries, and any annually recurring event, such as the family reunion on Memorial Day weekend.

7. Enter monthly reminders of reoccurring events as well.

In the empty spaces at the beginning of the month on each page, be "planning ahead." In other words:

April - taxes; find summer camp for kids; July - school supplies; November - Buy all Christmas presents; get holiday cards ready to mail; October - make decisions re: holidays (who hosts Thanksgiving, Kwanzaa and Dwali or Rid al Fatr this year); May - "busy". This is generally the second busiest month of the year and it sneaks up on us. Graduations, wedding and end-of-school-year functions.

June - schedule dental appointments for all; car maintenance; August - do crafts for fall festivals; make holiday gifts; February - checkups for Weejums and Bing (pets).

This way you can work ahead and use your calendar for a "planner" as well.

8. Enter weekly reminders as well.

I use a red pen for these things, i.e., "Call Ann Elizabeth's teacher this week," and "Remind committee of article deadline."

9. As things occur, schedule them immediately.

When you receive the schedule for sports practices and games, or your Russian class, don't throw the letter in a pile, enter the times immediately, one-by-one, and then you can throw the paper out. When you make dental or doctor appointments for the family, enter them immediately. Also party invitations.

If you can't enter it right away, attach the paper to your calendar. I use straight pins; you can also use paper clips, clothespins or anything else that works!

When you schedule appointments, put the things you need to know - i.e., when you schedule Sam's dental appointment, write: "Sam - DDS, 684-5780, 1500 Fredericksburg Rd., Suite 500. Ask about overbite."

If this is a new dentist, the morning of the appointment, I transfer the address and phone number over to a yellow post-it, and attach it to my purse or day planner, or put it in my wallet. Then when we head for the appointment, I have the address and if I get lost, I can call for directions.

Do this for parties -- it saves arguments with your spouse and the frustration of trying to find the house in the dark.

10. Enter major "work" events that impact family life.

Use initials for each family member, and enter those things which cause extra pressure and time constraints on the person involved, so you know what's going on with one another.
