"Hi, Cathy. I just realized we were supposed to connect last Tuesday, but haven't been checking my messages for five days. I had to attend my significant other's office party, which meant taking an afternoon to get ready and a morning to recover. And then I got a cold and I'm still stuffed up. And then last night, there was a heavy snowstorm and I had to take the morning off to shovel the walk, and my arm is still sore." Signed: Xaveria Meanswell.
I'm not exaggerating. This is a real email with details disguised and excuses abbreviated. Will Xaveria get my business? What do you think?
Everybody misses appointments now and then. Everyone oversleeps, catches cold and shovels snow. However, you can make the situation better or worse, depending on your response.
(1) Skip the details. Nobody really cares about excuses. An old, loyal client will understand if you get sick once in awhile. New clients may be suspicious. We've met too many people who seemed to undergo one crisis after another. Today there was a car accident. Next week they've got the flu. And then, "My daughter's concert ... "
(2) If your life is truly chaotic, build your business to avoid firm deadlines. "I'll get back to you next week" may be as close as you can get to a commitment. For some clients, that will be enough. You'll lose the others anyway.
(3) When family, personal and business priorities begin to clash, consider working with a coach to manage your time and set priorities.
(4) When you know you'll be away from your email for more than one business day, notify your clients and prospects. Include a note in your ezine and consider a notice on your home page, or whatever page in your site generates the most calls.
(5) Once you make contact after a missed meeting, get right down to business. If you didn't have a firm appointment -you were just going to "touch base" -- say, "Can we set a time to talk? Here are some good options for me."
That's all Xaveria Meanswell needed to say. Her litany of excuses actually introduced more questions than reassurances.
(6) If you actually missed an appointment, offer a freebie: an extra session, a complimentary ebook or a class that normally requires a fee.
Some service marketing experts talk about the "Plus One" rule. If you've missed a meeting, you can set up another --but you need to compensate for the replacement "plus one" --the inconvenience experienced by the client as well as a replacement for what was lost.
(7) You will lose clients now and then, no matter how conscientious you may be. If you've blundered, your client may decide to leave, regardless of any compensation you offer. Nothing you can do now -- just be gracious, move on and apply what you've learned to the next client.
